THE ORGANIZATION:
The Memphis Library Foundation transforms Memphis through knowledge and experiences by raising awareness and funds for the Memphis Public Libraries (MPL). Founded in 1994, MLF conducted a $21M capital campaign to match City and County funds for the construction of the Benjamin L. Hooks Central Library. Following the opening of the Central Library in 2001, MLF has continued to focus on library enhancements, including a wide range of programs, up-to-date technology, and capital improvements. MLF partially and fully funds many of the library’s most important programs.
Our small-but-mighty team is based in the Benjamin L. Hooks Central Library in the heart of Memphis, TN, but we serve the entire Memphis Public Libraries system, including 18 physical locations, the Connect Crew Outreach Team, and the Virtual Digital Branch.
THE ROLE:
The Development Assistant is a critical role that increases the organization’s capacity to raise, manage, and distribute funds in support of MPL by ensuring that administrative and logistical tasks are completed with care and accuracy, allowing other team members to focus their work on fundraising and grantmaking strategies. This role reports to the Director of Operations and Donor Strategy and collaborates directly with all team members.
WHERE YOU COME IN:
As the Development Assistant, you will:
• In collaboration with other relevant staff and in alignment with the organization’s annual development plan, set up project management tools for all events, campaigns, and other fundraising activities, and track progress to create accountability checkpoints and maximize staff follow-through.
• Assist with the MLF purchasing program, including making, receipting, coding, and tracking purchases from internal and external funding sources.
• Assist with donor database maintenance.
• Assist with documenting and tracking pledges and accounts payable and receivable.
• Assist with scheduling, calendar and contact maintenance, and meeting preparation and follow- up for donor and partner meetings.
• Provide administrative support for board and committee meetings, including scheduling, room reservations, ordering catering, preparing meeting packets, and keeping minutes.
• Assist with donor acknowledgments and receipting.
• Perform a variety of administrative and clerical duties including maintaining and filing digital and physical records, preparing and assisting with mailings, and data entry.
WHAT YOU’LL NEED:
• 2 or more years of administrative experience preferred (nonprofit experience highly preferred)
• Strict attention to detail
• Solid oral and written communication skills
• Ability to work independently or collaboratively, depending on the circumstances
• Able to manage multiple projects and priorities efficiently
• The desire to serve, and to advance our organization’s mission
• Strong commitment to and passion for the role of libraries in our community
• A solid understanding of the Memphis community preferred
WHAT WE OFFER:
• Starting salary range of $40,000 to $48,000 annually, depending on average weekly work hours (negotiable with a minimum of 32 and maximum of 40), and level of experience.
• Unlimited paid time off (with supervisor approval and in coordination with other staff out-of-office schedules), plus all official city holidays, and from December 24th through January 1st off paid each year, beginning immediately upon hire.
• Flexible hybrid schedule (typically in-office two days per week), with technological support to ensure the ability to work effectively from any location (although applicant must be based in Memphis)
